1. Purpose

This policy outlines how KnowNow provides, manages, and secures software demonstrations and trial environments. It ensures protection of data, compliance with Australian laws, and clear expectations for all involved parties.

2. Scope

This policy applies to all KnowNow employees, contractors, partners, and prospective clients involved in software demonstrations or trials in Australia or for Australian-based clients.

3. Legal and Regulatory Compliance

KnowNow complies with all relevant Australian laws and regulations, including:

  • Privacy Act 1988 (Cth)
  • Australian Privacy Principles (APPs)
  • Spam Act 2003
  • Cybersecurity obligations under industry best practices

4. Definitions

  • Demonstration: A live or recorded presentation of KnowNow’s software features conducted by authorised personnel.
  • Trial: A limited-access, time-bound environment made available to potential clients for evaluation purposes.
  • Client: Any prospective business, organisation, or authorised individual trialling KnowNow’s software.

5. General Guidelines

  • Demonstrations and trials must use non-production environments.
  • Real client or patient data must never be used during demonstrations or trials.
  • Only mock or anonymised sample data should be used.
  • Trials are time-limited and access expires automatically.

6. Access Control

  • Trial access must be formally requested and approved by KnowNow Sales or Support.
  • Login credentials are issued securely and deactivated at the end of the trial.
  • Multi-Factor Authentication (MFA) is required where supported.
  • Users must not share their credentials or allow unauthorised access.

7. Data Security and Privacy

  • All systems are monitored for unauthorised access or abnormal usage.
  • Any data uploaded by trial users will be treated in accordance with the Privacy Act 1988 (Cth).
  • Trial data will be securely deleted within 30 days of trial expiry, unless otherwise agreed.
  • Users must not attempt to extract, scrape, or reverse engineer KnowNow systems.

8. Support & Limitations

  • Standard support is available during business hours (AEST/AEDT) throughout the trial.
  • Trial versions may include limited functionality or reduced capacity.
  • System refreshes may occur without prior notice during trials.

9. User Responsibilities

  • Trial users must comply with KnowNow’s Terms of Use and this IT Policy.
  • Users must not breach Australian privacy or cybersecurity laws while using the platform.
  • Feedback provided during trials may be used by KnowNow for product improvement.

10. Termination of Access

  • KnowNow reserves the right to revoke access at any time for breach of policy or misuse.
  • Access automatically ends upon trial expiry, and all client data will be removed per the data retention policy.

11. Policy Review and Changes

  • This policy is reviewed annually or as required to ensure compliance with evolving Australian laws and industry standards.
  • Updates to this policy will be communicated to relevant stakeholders.
